How long does it take to process a meeting once it has been completed?

The meeting will be processed immediately after the meeting has ended. The processing time is a function of the duration of the meeting and should normally not take longer than twice the meeting duration.

In busier periods, the processing might take longer to complete.


The assistant did not join my meeting - why?

The assistant will not join the meeting if:

  1. The join toggle had been switched off prior to the meeting;

  2. The calendar event does not have a valid meeting link from a supported meeting provider (Microsoft Teams, Zoom);

  3. The meeting type is webinar; or

  4. The meeting host has not admitted the assistant

In cases where this is not intentional, we would recommend recording the meeting via the meeting provider, and then uploading the recording to the system.


How can I remove the assistant from the meeting?

You can remove the assistant by:

  1. Going to the Brief AI dashboard and clicking on the hang up button in the sidebar;

  2. Clicking on the disconnect link sent by the assistant into the meeting chat; or,

  3. Removing the assistant from the meeting if you are the meeting host.


I have accidentally removed the assistant during an ongoing meeting. Can I re-invite?

This is unfortunately not possible. However, you can record the meeting via the video conferencing provider, and re-upload to the system.


The assistant joined meeting despite being toggled off.

That is likely because someone from your organisation who was also an invitee left the join toggle on. The meeting will be recorded with their assistant and not be shown on your dashboard.


Assistant joined external meeting despite external meetings being toggled off Calendar Settings.

Brief AI uses the invitee email domains as proxy to determine whether they are from your organisation. In cases where an external invitee does not appear on the initial calendar invitation, Brief AI might estimate the meeting to be an internal one and therefore join as instructed.


Can I share meetings with people outside my organisation?

Unless your IT administrator disabled the ability for security reasons, you should be able to share a meeting with people outside your organisation.

However, the recipient(s) would need to create a free / viewing-only Brief AI account. Please contact us for assistance with account creation.


The assistant did not send an opt-out message into the meeting chat.

If so configured by your IT administrator, the assistant will send a message that contains a link allowing any participant to remove the assistant from the meeting.

This message is sent in the first couple of minutes of the meeting, and any participant joining after that moment might not be able to see the link.


What happens if I reschedule a meeting after it has already started?

If the meeting is rescheduled before originally scheduled end time, Brief AI assistant will try to join the meeting at the rescheduled start time.

If the meeting is rescheduled after originally scheduled end time, Brief AI assistant will not join the rescheduled meeting. We would recommend recording the meeting manually, and uploading it back to the system.


Why can I not see a meeting on the list of the upcoming meetings?

Make sure you have connected a calendar to your Brief AI account, the meeting is in the Brief AI-connected calendar, and the meeting contains a valid Microsoft Teams or Zoom meeting link.

Also, please note that it may take a few minutes for upcoming meetings to load if you have logged into the system and connected your calendar with Brief for the first time.

For recurring meetings, Brief AI will display only the next 4 upcoming instances. As time goes on, additional instances will automatically appear as they get closer.


Can I import earlier meetings that I have a recordings on my computer?

Yes. You can use the Upload Meeting page to upload meeting recordings.


Where does the training data originate from

The training datasets were curated from various open-source and publicly accessible sources on the internet (excluding domains with PII), as well as synthetic data for instruction fine-tuning.

The models were trained on datasets containing a diverse range of text, including books, articles, and other publicly available written materials. The data was anonymised and processed to remove any personal information.


If any prompt data was used to train the model and if you will have any access to any prompts used by the users?

By deliberate design, we do not currently provide users with the ability to create or insert prompts. The system uses predetermined prompts to handle specific tasks.
